Can I install OneDrive for Business on my MAC?

What are the file size limits of the new system?
Mailbox Size: 50 gigabytes
Maximum size of attachment sent/receive: 25 MB

Will my email address change?

Student email will change from username@goldmail.etsu.ed to username@etsu.edu


Will the new system have spam filtering?
Yes, like our current system, spam filtering is built in. Unlike the current system, though, spam will be delivered to your Junk Mail folder for you to examine, and the system will learn as you tell it some things are not junk.

Will mailbox and calendar sharing permissions (delegates) be migrated or will they have to be set up again?
Delegate permissions will migrate, but will require that users with delegation be migrated together. IT Systems is collecting information on this from server settings prior to the migration, but feel free to contact the IT Service Desk if you are concerned about this and want to notify us about your needs.

I check my mail using my iPhone/iPad. Will that work with the new system?
Yes, but you may have to enter some new server information for the device to find your mailbox in its new location. To see what those settings should be, follow the directions on the Office 365 Mobile Setup Help. Screen capture of Android Setting for 365 app.

Can I forward my Goldmail to 365 Student Outlook?
Yes. Students have a new clean email box with Office 365. Steps to forward or move Goldmail to the 365 student email, IF you want to move it:
  1. Login to the m.outlook.com
  2. Click the gear/cog icon in the upper right
  3. Choose the Options submenu option
  4. On the left-hand navigation expand Mail, Accounts, and choose Connected Accounts
  5. Click the plus (+) sign
  6. Enter the Goldmail address and password
  7. All the Gmail is moved into Outlook. 
  8. Leave the account connected, which will kind of act like a permanent forwarding to Outlook, or remove the account and be finished with Goldmail forever.

Will the connection between my computer and the cloud server be secure?
The email connection types (Exchange, POP, IMAP, and SMTP) all support SSL encryption to secure your connection, and the web mail client uses https to secure your connection.

Will my data be handled securely in the cloud?

Office 365 provides the ability to encrypt data by supporting technologies that can encrypt the content of emails and/or files. The supported technologies for data encryption at rest include Microsoft’s Information Rights Management (IRM), S/MIME and PGP Email encryption and have the advantage of allowing the customer to maintain full control over the encryption infrastructure and key management on their premises.

Office 365 support for data encryption at rest technologies is designed to minimize the risk of information leakage by encrypting the content, allowing access only by the intended users and by extending the protection beyond the initial publication location. Microsoft’s IRM goes further by restricting the actions allowed on the protected content and also encrypting Office application document attachments.

Office 365 mitigates against the risk of unauthorized physical access with extensive physical protections in their datacenters and operational procedures.


Will the new calendaring system handle shared resources, public folders (conference rooms, etc.)?

Office 365 provides the ability to interact with resource calendars, such as: conference rooms, vacation calendars, equipment calendars, etc. Public Folder information...


What is OneDrive?

OneDrive -- previously called "SkyDrive" -- is Office 365's cloud storage and file sharing application.

OneDrive is accessible via Outlook Web App (Office 365's browser-based client) or OneDrive desktop. It allows users to upload files to the cloud, then share them with contacts or keep them private.

Is Microsoft Office 365 Web Storage HIPAA compliant?

No.  Microsoft Office 365 Web Storage (i.e. Sharepoint and OneDrive) is not yet HIPAA compliant.  ITS and the HIPAA Compliance Office will provide guidance and instruction on how the Microsoft Office 365 Web Storage can be used in a HIPAA compliant manner when it becomes available for use.  Until that time, protected health information must not be stored on these platforms


Is ETSU email HIPAA Compliant?

Yes, so long as you encrypt emails that contain protected health information. Internal and external emails that contain protected health information must be encrypted. Your ETSU assigned Microsoft 365 Outlook account may be used to send protected health information when the procedures below are followed.

Internal Email Communications (etsu.edu to etsu.edu)

  1. Simply type the word encrypt anywhere in the subject line to encrypt the contents of the message and the message attachments
  2. Do not include protected health information in the subject line as the subject line itself is not secure

Encrypted messages sent internally will show up in the ETSU inbox and look completely normal—no actions have to be taken to decrypt/read the message

When the recipient takes subsequent action with an encrypted email (e.g. replies or forwards it) the subsequent emails will remain encrypted so long as the trigger word—encrypt—remains in the subject line

External Email Communications (etsu.edu to external address)

  1. Simply type the word encrypt anywhere in the subject line to encrypt the contents of the message and the message attachments
  2. Do not include protected health information in the subject line as the subject line itself is not secure

Encrypted messages sent from an etsu.edu address to an external address will show up in the recipient’s mailbox and require extra steps—recipient will have to follow instructions to access contents of the encrypted message within a secure portal session.

When the recipient takes subsequent action with an encrypted email (e.g. replies or forwards it) the subsequent emails will remain encrypted so long as all actions are taken within the secure portal session.
