Function of Position Responsible to the Associate Vice President for Facilities Management, Planning and Construction for assisting with the management of all athletic facilities including Memorial Center, Brooks Gym, Mooney Field, outdoor track, tennis courts and practice fields; serving as Physical Plant liaison with ETSU Athletic Department for all Athletic Department issues concerning Physical Plant support; assisting with the development and implementation of facility management, maintenance planning and scheduling for the campus; providing project management/supervision for renovation/construction projects, work order tracking and Physical Plant customer service; inspecting ETSU buildings to perform corrective or preventative maintenance; supervising Key Shop, Moving Crew and Dome Conversion Crew employees; and performing other related duties as assigned. Essential Functions - Assists with the development and implementation of facilities management plan. - Plans, schedules and coordinates events using athletic facilities. - Provides conversion cost estimates for the use of athletic facilities. - Implements university policies and procedures. - Supervises and schedules a Conversion Crew of twelve employees in converting facilities for athletic events, convocation, physical education and special events. - Serves as liaison between the Physical Plant and Athletic Department for all renovation, construction, maintenance issues, and planning that involves Physical Plant support. - Initiates and coordinates work orders from all campus departments with Physical Plant supervisors and administrators. - Provides leadership to shop supervisors through planning and scheduling tasks. - Performs customer service function through tracking of work orders and providing scheduling status of work to all campus departments. - Supervises and schedules work assignments for the Physical Plant Moving Crew in the transfer of equipment, furniture and surplus materials for all ETSU departments. - Supervises the Physical Plant Key Shop functions which includes planning, scheduling, key control, work order completion and inventory. - Conducts weekly building inspection of university buildings. - Schedules maintenance work with appropriate entity. - Supervises renovation/construction projects as assigned. - Assists in developing project specifications. - Obtains estimates/quotes for renovation projects from shop supervisors or outside contract/vendors. - Inspects work by outside contractors to insure conformance with project specifications. - Maintains appropriate cost records and reports. - Insures compliance with all applicable safety regulations. - Trains all ETSU faculty and staff in the use of TMA e-mail work order system through individual training or scheduled seminars. - Assists in the development of building preventative maintenance. - Coordinates inventories of Physical Plant Shop materials and equipment. Secondary Functions - Serves on ETSU Athletic Department Senior Staff. - Attends meetings on projects and other related activities. - Interfaces with faculty/staff users to address needs and concerns during renovation projects. - Assists in routine problem solving. - Keeps records and coordinates the On-the-Job-Training Program with Physical Plant shops and Career Skills Office. - Coordinates and schedules Special Projects as assigned by Vice President for Facilities Management, Planning and Construction. - Serves as host and transports non-ETSU personnel visiting campus (TBR officials, UT President, etc.). - Performs other related duties as assigned. Knowledge and Abilities - Knowledge of scheduling, planning and conversion techniques for large multi-purpose facilities. - Knowledge of Division 1 university athletics, event management, recreation and academics. - Knowledge of university policies and procedures. - Knowledge of safety and fire regulations. - Knowledge of computers. - Ability to communicate effectively with all levels of employees and the public. - Ability to work weekends and odd hours. - Ability to make quick, practical and fair decisions. - Ability to prioritize work tasks, plan and coordinate tasks. - Ability to work independently and meet deadlines. - Ability to coordinate projects. - Ability to supervise others. Supervision Given and Received Performs under general supervision. Determines own methods of performing assigned work. Minimum Qualifications Bachelor's degree required, preferably in recreation, facility management or a related field; five years experience in athletic or recreational facility management; five years experience and basic knowledge of maintenance issues for various crafts and maintenance scheduling; and supervisory experience.
