Function of Position

Responsible to the Director of Athletics for monitoring and initiating all financial aspects of the athletic department and for the administration of the ticket office; assisting in game day operations of all athletic events; overseeing budgets, financial statements, payroll records, spreadsheet forecasting, fiscal planning, purchase orders, etc.; and performing other related duties as assigned.

Essential Functions

-        Serves in a leadership role as part of the management team in the athletics department for all matters relating to budgeting, financial management, contracts, and personnel administration.

-        Manages and supervises the daily operations of the athletic business office and ticket office; ensures that all business and financial guidelines of the department are in full compliance with university, state, and NCAA guidelines.

-        Ensures implementation of internal control policies and procedures as required to support cash/revenue collection, inventory control, accounting requirements, and financial reporting.

-        Supervises the posting and maintenance of all accounting records on the departmental computer system; reconciles and balances all accounts with the statement of accounts generated by the university accounting office each month and at the close of the fiscal year; generates budget analysis reports as required and monthly budget reports for each coach and supports unit head with budget responsibility, with full reports provided to the Director of Athletics; prepares monthly comparisons of actual to budgeted revenue; reviews and authorizes revisions to budget accounts.

-        Assists Director of Athletics and Associate Athletic Director with preparation of the annual departmental budget; acts as primary contact person for all budgeting questions.

-        Manages all aspects of the athletic merchandising program.

-        Prepares annual financial report for all departmental accounts.

-        Serves as liaison with the university financial accounting department and meets regularly to discuss current business and accounting issues and ensures an open line of communication and effective institutional oversight of business practices.

-        Manages departmental salary administration, preparation, and distribution of personnel action request forms, and reviews labor distribution, position control and other payroll documents; ensures compliance with system policies relating to employee prerequisite authorizations and reporting.

-        Develops and implements departmental procedures for the purchase of supplies and equipment in accordance with university policy and serves as departmental liaison with the purchasing department; coordinates the preparation of all purchase vouchers, purchase requisitions, budget transfers, and interdepartmental transfers.

-        Coordinates departmental equipment and facilities inventory in conjunction with the Assistant Athletic Director and Equipment Manager, ensuring accuracy of inventory and control of authorized equipment location.

-        Develops and implements internal procedures for obtaining travel advances and submitting expense vouchers for coaches and staff; oversees team travel arrangements and proper allocation of travel expenses to appropriate budgetary categories.

-        Maintains necessary income and expense records to provide required financial and statistical reports to the athletic director, university administration, or state auditors.

-        Monitors and ensures compliance with university regulations pertaining to athletic scholarship awards and expenditures.

-        Coordinates student-athlete housing and board policies and procedures in conjunction with the assistant athletic director.

-        Oversees the education, initial interpretation, and day-to-day implementation of conference and NCAA rules applicable to the athletic business office.

-        Maintains up-to-date departmental policy and procedures for travel and purchasing and ensures distribution to new employees as part of the new employee orientation process.

-        Coordinates annual NCAA audits, internal audits, etc., and assists auditors with their examination of departmental records.

-        Coordinates record keeping for special events, summer camps, etc.

-        Manages the athletic ticket office.

-        Reconciles receipts for all athletic ticket sales.

-        Supervises full and part-time ticket office staff including game day personnel.

-        Oversees internal control of all ticket sales.

-        Ensures adherence to all NCAA rules regarding all complimentary admissions.

-        Orders ticket stock and other office supplies.

-        Works with marketing and promotions in developing season and single game ticket plans.

-        Handles customers' special requests and problems.

-        Remains in full compliance with NCAA, University, and Southern Conference rules.

-        Complies with all NCAA rules and regulations, and acknowledges this compliance as part of an annual evaluation process.

-        Signs an NCAA Compliance Statement annually.

Secondary Functions

-        Performs other related duties as assigned.

Knowledge and Abilities

-        Knowledge of NCAA rules and regulations.

-        Knowledge of computers (preferably TicketMaker 5.0, spreadsheets and word processing).

-        Knowledge of advanced accounting principles.

-        Knowledge of the principles of athletic administration.

-        Ability to communicate effectively.

-        Ability to work effectively with all levels of employees, students and the public.

Supervision Given and Received

Performs under general supervision.  Determines own methods of performing assigned work.  Supervises ticket office staff.

Minimum Qualifications

Bachelor's degree required, master's degree preferred; three to five years administrative experience in a university environment required, preferably in athletics administration; thorough knowledge of NCAA rules and regulations governing the conduct of intercollegiate athletics is strongly preferred; documented accounting and fiscal management background; documented administrative and supervisory ability; proficiency with personal computers, especially spreadsheet programs.
