Function of Position Responsible to the Associate Vice President for University Advancement and Alumni for serving as a primary contact with alumni and friends of the university through special events, chapter and society group development, and other activities related to alumni programs; planning and executing of all alumni programs and activities such as ETSU PRIDE week, National Alumni Association annual awards banquet, College of Medicine alumni society events, Homecoming, Southern Conference, reunions, graduation parties and other events throughout the year; writing, editing and assisting in layout, design and composition of alumni publications; developing and recruiting effective volunteer leadership for alumni programs; promoting the university and the alumni association through the news media; assisting with fundraising activities; supervising classified employees; and performing other related duties as assigned. Essential Functions - Supervises the daily operations of the Alumni Office. - Supervises support staff, graduate assistants and student workers. - Adheres to the goals, objectives, action plans and the budget of the Alumni Office. - Coordinates relationships with promotion partners and vendors including Affinity card, class ring and related ventures. - Plans and conducts alumni activities for Homecoming and related class reunions. - Plans and conducts alumni activities for Spring Weekend including class reunions, Golden 50’s Club, and the Annual Alumni Association Awards Banquet. - Coordinates Alumni Association Board of Directors functions. - Conducts Graduation parties before Fall and Spring commencement. - Plans and conducts the ETSU PRIDE program which has evolved into a month long series of events coordinated throughout Northeast Tennessee and Southwest Virginia. - Plans and conducts a Media Tour prior to ETSU PRIDE activities to generate interest in campus improvements and programs. - Coordinates activities with the Alumni Return to the Classroom Program. - Plans and conducts regional alumni and society activities as well as pre-game activities in conjunction with athletic events. - Assists with Alumni Golf Classic with coordination, planning, hole sponsorship, etc. - Coordinates with related parties, such as President’s staff, for successful activities which involve the University President. - Assists in preparing and coordination of the Alumni annual budget for departmental activities. - Identifies and cultivates entire volunteer leadership for alumni programs and alumni chapter/society events. - Generates interest from news media and other promotional outlets regarding alumni activities and programs. - Develops programs that provide general promotion of ETSU. - Plans academic college, schools or administrative department reunions. - Serves as ETSU Foundation Carillon Administrator. - Writes, edits and assists in layout, design and composition of alumni publications. - Develops and assists with mass correspondence sent to alumni. - Coordinates Alumni Directory publication. Secondary Functions - Coordinates the Alumni Constituent Council of Leaders. - Facilitates the Alumni Students Recruitment Network. - Facilitates the Alumni Ambassador Program. - Coordinates CASE Conference and TARC Conference award submissions. - Identifies and cultivates alumni donors and friends for annual and major gifts. - Assists the Office of University Advancement in fund raising activities. - Performs other related duties as assigned. Knowledge and Abilities - Knowledge of computers and related hardware and software. - Knowledge of fund raising techniques. - Knowledge of basic accounting principles. - Knowledge of the corporate/business sector. - Knowledge of promotional management and publicity. - Ability to manage personnel. - Ability to work with diverse types of people in university and community environments. - Ability to resolve complex problems. - Ability to work with confidential information and financial records. - Ability to work independently. - Ability to communicate effectively. - Ability to plan effectively and make sound decisions. - Ability to handle multiple tasks. Supervision Given and Received Performs under general supervision. Determines own methods of performing assigned work. Minimum Qualifications Bachelor's degree in Mass Communications, Marketing, Business or a related discipline; three to five years experience.
