Function of Position

 

This position is responsible to the University Registrar for planning, organizing, and supervising all aspects of the undergraduate graduation process. This includes the supervision of staff, temporary staff, and students who assist with graduation audits, convocation, and other processes associated with graduation activities. Duties include: determining if students meet the academic requirements for graduation; coordinating the process of reviewing the student academic records of potential graduation candidates; advising students on academic programs and requirements; notifying students, advisors, departmental chairs, and deans of the graduation status of potential graduates; preparing a list of degree candidates; directing and reviewing the work of all subordinates; updating the office web site; maintaining the office web site; helping to implement CAPP in the Banner Student System; planning and coordinating physical arrangements for graduation; approving second bachelor’s degree programs; and performing other related duties as assigned.

 

Essential Functions

 

-        Determines if students meet the academic requirements for graduation.

-        Coordinates the process of reviewing the student academic records of potential graduation candidates.

-        Advises students on academic programs and requirements.

-        Plans and coordinates physical arrangements for graduation.

-        Notifies students, advisors, departmental chairs, and deans of the graduation status of potential graduates.

-        Prepares lists of degree candidates for various interested parties.

-        Accumulates documents, letters, and other appropriate materials in student folders for documentation purposes.

-        Supervises office staff.

-        Coordinates the development and printing of the commencement program.

-        Coordinates the printing of graduate and undergraduate diplomas.

-        Coordinates the Graduation Forum and Graduation Celebration.

 

 

Secondary Functions

 

-        Assists with registration.

-        Assists with athletic and VA audits.

-        Maintains the office website.

-        Assists with implementation and maintenance of CAPP.

-        Approves second bachelor’s degree programs.

Performs other related duties as assigned.

-        Knowledge of all university graduation requirements.

-        Knowledge of student information computer system.

-        Ability to communicate clearly and effectively.

-        Ability to work independently and resolve diverse problems.

-        Ability to work effectively with students, faculty, and staff.

-        Ability to prepare and disseminate graduation-related information.

-        Ability to direct the work of others.

-        Ability to work under pressure, meet deadlines, and maintain a high level of accuracy.

 

 

Supervision Given and Received

Performs under general supervision. Determines own methods of performing assigned work. Supervises classified employees.

Minimum Qualifications

 

Bachelor’s degree required, Specialized training in Excel, Banner preferred. Five years experience in higher education. Experience in Enrollment Services or related area preferred.
