Function of Position Responsible to the Associate Vice President for University Advancement and Alumni and the Director for Advancement Services for coordinating computer hardware and database matters for the Division of University Advancement including assisting with administrative matters of the Advancement Services office operations; developing, writing and running ad hoc computer programs and/or using existing report codes to generate figures, reports and data files; maintaining data with the database interactions; providing computer-related troubleshooting within the division; and performing other related duties as assigned. Essential Functions -Serves as a member of the Advancement Banner Conversion Team in the implementation of the Banner computer system including working on the conversion of data, workflow and reporting processes from ADS to the Banner system. -Develops, writes and runs computer programs in generating information from the ADS and/or Banner databases. -Processes requests for standard reports, labels and data files from the ADS and/or Banner systems using stock programs. -Collects data from ADS and/or Banner and converts into spreadsheets, tables, graphs and customized data files for operational support and external reporting. -Maintains the ADS and Banner systems and the data within. -Coordinates the use and maintenance of over thirty personal computers with peripherals including providing first level troubleshooting and user assistance. -Provides user training, assistance and troubleshooting in the use of the ADS and Banner systems and related software. -Conducts research and makes recommendations regarding acquisition of computer hardware and software. -Adheres to goals and objectives set forth by the Alumni Office. -Prepares reports for senior management on university-wide gifts and donations. -Maintains philanthropic and bio-demographic information of university donors and alumni. -Assists with special projects within the Office of University Advancement. Secondary Functions -Performs pledge data entry and maintenance including the generation of pledge reminders using ADS. -Processes payroll deduction records in ADS and generation of yearly payroll deduction statements for employees. -Serves as backup for additional advancement services positions when co-workers are absent. -Performs other related duties as assigned. Knowledge and Abilities -Knowledge of computers and various programs and software including FOCUS, databases, spreadsheets, etc. -Knowledge of general accounting principles, policies and procedures. -Knowledge of division and university policies and procedures. -Ability to move data between different programs and formats, using spreadsheets and other software. -Ability to develop, write, test and use database queries. -Ability to communicate effectively in written documents and oral presentations. -Ability to exercise good judgment in evaluating problems and making decisions. -Ability to provide first level troubleshooting for computer hardware and software. -Ability to work independently. -Ability to use standard office machinery. -Ability to manage and complete several projects simultaneously. Supervision Given and Received Performs under general supervision. Determines own methods of performing assigned work. Minimum Qualifications Bachelor’s degree or equivalent in computer science or related field; coursework in database management; three years working with databases; and general familiarity with data management and analysis.
