Function of Position 

Responsible to the Assistant Vice Provost, School of Continuing Studies, for increasing university enrollment with a non-traditional student population; traveling to and working with cohort students and faculty at off-campus locations and area community colleges where programs may be located; working with academic and administrative departments to facilitate new cohort programs; facilitating undergraduate and graduate student admission and registration; monitoring existing programs and supporting cohort activities; reviewing current support procedures related to cohort students at off-campus locations; and performing other related duties as assigned.

 

Essential Functions 

-         Assists academic departments in recruiting new students, providing information and assisting with orientation sessions.

-           Serves as contact person to university departments in coordinating new cohort programs including initiating marketing efforts.

-           Travels frequently to off-campus sites in eastern and middle Tennessee in facilitating cohort programs including participating and traveling with the College of Nursing’s Information and Orientation Team.

-           Monitors admission for undergraduate and graduate students including registration and fee payment.

-           Assists cohort students in general education core, degree, proficiency and graduation requirements.

-           Coordinates advisement and student support services for cohort students with other academic departments.

-           Assists cohort students with options for completion of graduation requirements with on-line (RODP) and dual enrollment procedures.

-           Monitors and supports existing cohort programs.

-           Provides support to faculty teaching and assists with meeting the needs of cohort students at distant locations.

-           Serves as an advocate for cohort students pertaining to administrative offices.

-           Approves cohort program expenditures including travel requests for faculty and adjunct faculty teaching off-campus, consultant fees and additional programs and support expenditures.

-           Negotiates with off-campus site administrators for facility usage.

-           Monitors student enrollment data pertaining to cohort programs on a semester basis for the university census count which effects federal funding.

-           Assists co-workers and the Assistant Vice Provost/Associate Dean in collecting data for the Cohort Financial Analysis Report each semester including identifying expenditures for redistribution of funds back to participating academic departments including the Office of Academic Affairs.

-           Approves adjunct and replacement salaries for the Office of Academic Affairs.

-           Assists out-of-state agencies in developing the terms and conditions of Instructional Credit Agreements with ETSU which provides the out-of-state agency’s employees with in-state tuition including monitoring the approval process, advising the agency of policies and procedures and serving as point of contact for initiating and maintaining contracts.

 

Secondary Functions 

-         Confirms transfer students to cohort programs in correlation with East Tennessee State University’s performance funding.

-           Instructs departmental personnel on the procedures for preparing dual service contracts concerning adjunct faculty.

-           Delivers equipment for classrooms and instructional labs at distant locations.

-           Collaborates with the (Marketing and Information Resources) Coordinator within the School of Continuing Studies on advertisements and effective marketing approaches for cohort programs including purchasing promotional items for distribution concerning the advertisement of cohort programs.

-           Assists cohort personnel in developing procedures and guidelines to meet the needs of departments, faculty and students.

-           Promotes cohort programs at various off-campus sites.

-           Performs other related duties as assigned.

 

Knowledge and Abilities 

-      Knowledge of university admission, registration, and fee payment policies and procedures for graduate and undergraduate students.

-      Knowledge of university general education and graduation policies and procedures.

-      Knowledge of computers.

-      Knowledge of the Student Information System (SIS) and Financial Records System (FRS).

-      Ability to work effectively with students.

-      Ability to work independently.

-      Ability to communicate effectively.

-      Ability to solve problems.

-      Ability to establish and maintain effective working relationships with students, faculty and staff.

 

Supervision Given and Received 

Performs under general supervision.  Determines own methods of performing assigned work.

 

Minimum Qualifications 

Bachelor's degree preferred; five years experience in a college of university setting, including at least one year working with adult students; experience in higher education procedures and guidelines required; and student advisement preferred.
