Function of Position

Responsible to the  Dean for managing and coordinating administrative services for the Honors College in assistance to the dean; strategic planning for administration and development of four major program areas; development and coordination of assessment and evaluation activities; database and web site management; planning and coordination of special projects, especially relating to advancement activities; serving as liaison with all consulting/advisory groups for the College; activities related to the effective long-term operation of the college; assisting the dean and coordinating activities of four directors of program areas and serving as a member of the dean's administrative team; and performing other related duties as assigned.

Essential Functions

-       Serves as a member of College administrative team in developing strategies to meet mission and goals of College in an effective manner; attends all college meetings, advise dean and directors and coordinate their activities; develops and oversees assessment activities for the college; identifies external funding sources and assists dean and directors in proposal development, and serves as liaison with ETSU Office of Advancement.

-       Develops and maintains databases for assessment, advancement and budget activities; oversees program assessment including student and alumni survey and other activities; conducts necessary data analyses to prepare and present reports needed in the planning process; prepares annual report for the college; serves as liaison with offices of the Registrar, Institutional Effectiveness & Planning, Finance and Administration in regard to data gathering and reporting for strategic planning.

-        Develops and maintains design and content of web sites for college and program areas.

-        Serves as liaison with Office of Information Technology and Academic Technology Services.

-        Serves as liaison with community and campus advisory boards for the College and for boards or consulting groups associated with the four program areas of the college. 

-       Assists the dean in budget administration and oversight including state appropriated budget, grant, contract, practice and gift funding; holds dean's signature authority in budget and human resource matters.

-        Manages all required reporting by the college, which may include Delaware Cost Study, faculty workload reports, credit hour production, and fiscal reports to ensure integrity of data and alignment with college's mission; resolves discrepancies through interaction with the dean, directors, and other campus offices; establishes timeline for requests and reporting; acts as liaison with university administrative offices in matters relating to contracts, grants, and advancement activities.

Secondary Functions

-       Assists dean and directors in coordinating recruitment and orientation activities, scholarship award processes, and student retention criteria for scholarships; monitors scholarship awards for student scholars in three program areas.

-       Develops assessment instruments and related databases for program and student evaluation.

-       Reviews contractual agreements with organizations and individuals providing funding for college programs; ensures compliance with term of agreement for dean's approval; acts as liaison with ETSU offices of Advancement and Research & Sponsored Programs. 

-       Works with steering committees and advisory groups within and external to the college in developing and designing programs and activities that forward the mission and goals of the college. 

-       Manages advancement events, including guest lists, negotiating facilities contracts; evaluates funding needs; participates in solicitation of funding/scholarship donations; attends program events in support of or in representation of the dean to oversee the program and resolve any problems that may arise.

-       Coordinates public relations functions; manages design and production of brochure or other publication materials.

-       Serves as staff support for dean's committee/task force and advisory group work; develops time lines, tracking procedures for college projects/events; manages preparation of meeting materials, including reports, graphic displays, and other data analyses; communicates with dean's constituents to ensure task accomplishment.

-        Conducts research and data collection as requested to facilitate strategic planning of the college and program areas. 

-        Participates on sub-committees and special task forces, as assigned.

-        Performs other related duties as assigned.

Knowledge and Abilities

-        Knowledge of presentation and publication design/development.

-        Knowledge of web or internet design and associated software.

-        Knowledge of spreadsheet, database and presentation graphics.

-        Knowledge of strategic planning.

-        Knowledge of academic protocol/policy.

-        Knowledge of research methods, design, data gathering, analysis, reporting, etc.

-        Ability to communicate effectively.

-        Ability to work independently.

-        Ability to use sound judgment and solve problems.

-        Ability to establish and maintain effective working relationships with various internal and external constituents.

Supervision Given and Received

Performs under general supervision.  Determines own methods of performing assignments work. 

Minimum Qualifications

Bachelor’s degree required; minimum five years experience in project management and planning, including expertise in web and/or database design, technical writing, marketing and public relations; previous experience working in a university environment.
