Function of Position

 

Responsible to the Assistant Vice President for Community Outreach for overseeing the administrative activities of the Center such as purchasing, travel and human resource hiring procedures; tracking the various budgets for the Center; maintaining revenue and expenditure spreadsheets; creating client tracking files that are used for agency billing; processing invoices to funding agencies for reimbursement for grant projects; and coordinating the daily operation of the Center and ensuring that information flow continues.

 

Essential Functions

 

-           Oversees the administrative activities of the Center.                                    

-           Serves as staff supervisor.

-           Creates and maintains revenue/expenditure reports.

-           Oversees the fiscal operation of the Center.

-           Creates monthly reports to the state on client services.

-           -           Processes agency invoices and verifies money received from the state against each invoice.

-           Works with Grant Accounting to set up budgets.

-           Creates and maintains contracts for community service.

-           Supervises inventory control on all equipment in all offices statewide.

 

Secondary Functions

 

-        Assist Assistant Vice President with other related duties as needed.

-        Performs other related duties as assigned.

 

Knowledge and Abilities

 

-        Knowledge of office procedures.

-        Knowledge of the use of spreadsheets

-        Knowledge of customer service skills.

-        Ability to work independently and with others.

-        Knowledge in the use of word processing.

 

Supervision Given and Received

 

Performs under general supervision.  Determines own methods of performing assigned work.  Supervises classified employees.

 

Minimum Qualifications

 

High school degree or equivalent; five years experience in an office setting; at least five years experience in accounting.
