Series I, MINUTE BOOKS, 1899-1962, Boxes 1-15.
This series consists of the corporate minute books, 1899-1962, of the Carolina, Clinchfield and Ohio Railway and related companies. These include certificates and articles of incorporation, board of directors listing, by-laws, minutes of all board meetings, and, in appropriate cases, dissolution statements. Corporate histories as of June 30, 1916 with accompanying diagrammatic charts are included for the Black Mountain Railway, the Carolina, Clinchfield & Ohio Railway, the Carolina, Clinchfield & Ohio of South Carolina Railway, and the Clinchfield Northern of Kentucky Railway. (Diagrammatic charts have been removed and are listed in accompanying index.) Also included is one volume containing charter records for all companies. Information contained is name of company, state and date of chartered, principal office and place of business, stock information meetings of stockholders and directors, names of present directors, officers, and stockholders. Minute Books are arranged alphabetically by corporate names and chronologically by volume.
Series II, ANNUAL REPORTS, 1910-1964, Boxes 16-24.
This series consists of annual reports of the Carolina, Clinchfield & Ohio Railway or related railways to the Interstate Commerce Commission or states of operation. Included is information on financial operations, operating statistics, and capital stock. The series is broken down into three subseries; Subseries II-A, Corporate Annual Reports; Subseries II-B, Annual Reports of the General Manager; and Subseries II-C, Annual Reports of the Louisville and Nashville Law Department.
Subseries II-A, CORPORATE ANNUAL REPORTS, 1910-1971, Boxes 16-21.
This subseries contains corporate annual reports of the Carolina, Clinchfield and Ohio Railway or related railways to the I. C. C. or state of operation (e.g., Carolina, Clinchfield & Ohio to the state of Virginia).
Subseries II-B, ANNUAL REPORTS OF THE GENERAL MANAGER, 1911-1964, Boxes 22-24.
This subseries contains the annual reports of the General Manager to the Stockholders of the Carolina, Clinchfield & Ohio Railway.
Subseries II-C, ANNUAL REPORTS OF THE LOUISVILLE AND NASHVILLE LAW DEPARTMENT, 1954-1964, Box 24.
This subseries contains the annual reports of the Louisville and Nashville Law Department to the Executive Department of the Land, Nashville, Tennessee. All files are arranged chronologically.
Series III, INDUSTRIAL AGENT CORRESPONDENCE, 1909-1925, Boxes 25-64.
This series contains the correspondence with the industrial agent of the Carolina, Clinchfield and Ohio Railway at Johnson City between 1909 and 1925. The files include inquiries about location of industries along the Carolina, Clinchfield & Ohio; requests for analyses of minerals and ore deposits; location of timber and water resources; farming possibilities; and land speculation. Examples of advertising in local newspapers, trade journals, and participation in industrial expositions are included. Also present is information on early development of Johnson City, Kingsport, Spruce Pine, and Altapass, with discussions pertaining to immigration possibilities as planned by the railroad and other developers. The files are arranged by original file number.
Series IV, ENGINEERING FILES, 1906-1967, Boxes 65-109.
This series contains the files of the Engineering Department documenting the building of railroad facilities (e. g., station houses, round house, boarding houses, storage houses); track, including spurs and sidings; bridge crossings, wire crossings, road crossings, and tunnels. The files also include some contracts and agreements on land transactions, and agreements with county governments on county road building and maintenance. In addition, there are reports on maintenance of facilities and tracks, and the retirement or demolition of same. Records include correspondence, drawing sand blueprints, authorities for expenditures, bills for materials, accounting/cost statement of projects, legal agreements, and memorandums. The files are arranged by original file number and chronologically with file groups.
Series V, ACCIDENT AND PERSONAL INJURY FILES, 1912-1967, Boxes 110-122.
This series includes files documenting derailments, collisions, fires, explosions and personal injury of both authorized and unauthorized persons. The files contain formal reports, vouchers for bills paid, doctor's reports, transcripts (in some cases tapes or phonograph recordings) of hearings and investigations and autopsies in fatality cases. The series is broken down into three subseries: Subseries V-A, Personal Injury Files #9-#9995; Subseries V-B, Personal Injury Files May 5, 1964-November 13, 1967; and Subseries V-C, Personal Injury Ledgers.
Subseries V-A, PERSONAL INJURY FILES #9-#9995, 1912-1961, Boxes 110-119.
This subseries contains those accident and personal injury files which have original files numbers #9-#9995, and are arranged by the order of these numbers.
Subseries V-B, PERSONAL INJURY FILES MAY 5, 1964-NOVEMBER 13, 1967, Boxes 120-122.
This subseries contains accident and personal injury files dating May 5, 1964 to November 13, 1967. The files are arranged chronologically.
Subseries V-C, PERSONAL INJURY LEDGERS, 1913-1920, Box 122.
This subseries contains four ledgers of lists concerning accidents and personal injury. They are arranged in alphabetical order by the files title.
Series VI, SPECIAL EXCURSION FILES, 1969-1979, Boxes 123-133.
This series consists of the records pertaining to excursion trips on the Carolina, Clinchfield and Ohio Railway. These include correspondence with the transportation assistant, Sample contracts and releases, rate information, expense records, receipt and revenue records, ticket sales, passenger schedules, and equipment information. Also included are the master copies for trip brochures, train coach schematics, a history of the Carolina, Clinchfield and Ohio Railway, and advertisements and articles. The files also contain individual trip information.
Series VII, SUBJECT FILES, 1907-1974, Boxes 134-192.
This series consists of diverse material listed in alphabetical order by the title of each files. Included are files concerning railroad organizations and property, cities and industries of the region, passenger and freight service, employee labor unions, rules and agreements, disasters, contracts, charity donations, community involvement, departments of the company and reader files. Reader files were used to circulate information within the company. They consist of a wide range of subjects including community events, billing of shipments, tax assessment, work authorization, damage expenses, employment advertisement and insurance for both employees and property.
Series VIII, HOLSTON LAND COMPANY, 1916-1971, Boxes 193-206.
This series consists of correspondence pertaining to the land sales, land management, and land development by the Holston Land Company in the vicinity of the Clinchfield route from Elkhorn, Kentucky to Spartanburg, South Carolina. The Holston Land Company, also referred to as the Holston Corporation, worked very closely with the railroad furnishing them land for right-of-way, housing for employees, stations and maintenance yards, as well as land for industry along the route. Many of the Holston Corporation's employees were on the Clinchfield payroll, and the two companies had board members in common.
Series IX, BLACK MOUNTAIN RAILWAY, 1913-1954, Boxes 207-212.
This series consists of ledgers, financial statements, freight receipts, abandonment summaries, correspondence, payroll lists, agreements, and accident investigations of the Black Mountain Railway. This railway company was purchased by the Carolina, Clinchfield and Ohio Railway and later abandoned. These files are arranged alphabetically through box 207, folder 6, and then by files number from that point.
Series X, VOUCHERS, 1910-1917, Boxes 213-239.
This series contains vouchers of the Carolina, Clinchfield and Ohio Railway, the Meadows Company, The Carolina Company, the South and Western Railway, and the McCabe Company. These vouchers list expenses including railroad building maintenance materials, money paid out to contractors, payroll money, and lawsuit remittances. They are arranged by original voucher number.
Series XI, PUBLICATIONS, 1921-1978, Boxes 240-242.
This series contains booklets, charts, manuals, newsletters and pictorial material concerning organizational structure, insurance, safety, commerce, operation of machinery, and Clinchfield Railroad departments and employees. They are arranged alphabetically by the name of the publication type or title.
Series XII, PAYROLL LEDGERS, 1910-1961, Boxes 243-257.
This series contains a sampling of the payroll ledgers of the Carolina, Clinchfield and Ohio Railway that have been placed in oversized boxes. Payroll ledger boxes 243-246, September 1910-April 1914 are monthly listings of Carolina, Clinchfield and Ohio Railway employees including name, occupation, department and earnings for the month. The remaining portion of this series is broken down into three subseries: Subseries XII-A, Payroll ledgers August 1918-April 1936; Subseries XII-B, Payroll Ledgers October 1941-February 1961; and Subseries XII-C, Payroll ledgers January 1910-November 1941.
Subseries XII-A, PAYROLL LEDGERS August 1918-April 1936, Boxes 247-251.
This subseries contains payroll ledgers from August 1918 to April 1936 and represent bi-monthly listings of Carolina, Clinchfield and Ohio Railway employees including names, occupation code number (or in some cases by title of occupation), department code number and earnings for the half-month. The ledgers are arranged chronologically.
Subseries XII-B, PAYROLL LEDGERS October 1941-February 1961, Boxes 252-256.
This subseries contains payroll ledgers from October 1941 to February 1961 and represents bi-monthly listings of Carolina, Clinchfield and Ohio Railway employees including name, social security number, withholdings and earnings for the half-month. The ledgers are arranged chronologically.
Subseries XII-C, PAYROLL LEDGERS January 1910-November 1941, Box 257.
This subseries contains a retroactive payroll ledger dated November 1941 and a maintenance of way payroll ledger dated January 1910.

Series I consists of corporate minute books and miscellaneous loose minutes of the Carolina, Clinchfield and Ohio Railroad and related companies including the Clinchfield Northern Railway of Kentucky, the Cumberland Corporation, the Elkhorn Southern Railway, the Kingsport Southern Railway, the South & Western Railroad of North Carolina and the South & Western Railroad of North Carolina, Tennessee and Virginia.
Correspondence and proxy material is included. The series is broken down into two subseries: Subseries I-A, Minute Books and subseries I-B: Miscellaneous Loose Minutes. The materials are arranged chronologically.
Subseries I-A, Minute Books, 1905-1967, Boxes 258-265 and Boxes 298-299.
This subseries consists of bound minute books of the Carolina, Clinchfield and Ohio Railroad and related companies including the Clinchfield Northern Railway of Kentucky, The Cumberland Corporation, the Elkhorn Southern Railway, the Kingsport Southern Railway, the South & Western Railroad of North Carolina, Tennessee and Virginia. The minute book of Blair Realty Company and minutes of the first meeting of the Cumberland Corporation's board of directors are also included. The minute books are arranged first, alphabetically by corporation name and second, chronologically. The bound minutes are nearly duplicated in the photocopies of minutes in Series I of the original acquisition; therefore, that series should also be consulted.

This subseries contains minutes of the annual meetings of the Carolina, Clinchfield & Ohio Railroad and its subseries. Correspondence and proxy material also is included. The files are arranged chronologically.

This subseries contains the annual reports of the General Manager to the stockholders of the Carolina, Clinchfield and Ohio Railway. Included are annual reports of the general manager of the C. C. O. to the Atlantic Coast Railway Company and the Louisville and Nashville Railway Company lessees. The reports are arrange chronologically.
Series VII, SUBJECT FILES, 1908-1967, Boxes 270-287.
This series consists of a wide variety of material listed in alphabetical order by the title of each file. Included are company by-laws, compensation reports, equipment agreements, corporate histories, newspaper clippings, Interstate Commerce Commission dockets, lease materials, memoranda, mortgage files and stock and syndicated files. The Interstate Commerce Commission records are arranged alphabetically, and the division of dockets materials are in chronological order.
Series VIII, HOLSTON LAND COMPANY, 1905-1951, Box 288.
This series contains agreements, abstracts of title, correspondence, deeds, reports, resolutions relating to Holston Land Company's stockholder meetings, financing, sale of property and the construction of a coaling station and terminal in Charleston, South Carolina. The records are arranged chronologically in a single folder.
Series IX, BLACK MOUNTAIN RAILWAY, 1912-1956, Box 288.
This series contains correspondence, agreements, balance sheets, budgets, and board of director's meeting minutes concerning election of officers, tax assessments, financing and abandonment of Black Mountain Railway. The papers are in reverse chronological order within a single folder.
Series X, VOUCHERS, 1906-1949, Boxes 288-289.
This series consists of vouchers of the Kingsport Railway Company, Elkhorn Corporation and Meadows Company. The files are arranged alphabetically by company name.
Series XIII, ACCOUNTING FILES, 1925-1965, Boxes 290-297.
This series includes Carolina, Clinchfield and Ohio Railway accounting papers, bank statements, changes in accounts, checkbook ledgers and operating statements. The files are arranged first alphabetically by subject/record type/company name and second chronologically.
Series II, ANNUAL REPORTS, 1961-1970, Boxes 300-308.
This series contains the corporate annual reports and the general managers annual reports of the Carolina, Clinchfield and Ohio Railway to the Interstate Commerce Commission and to the Tennessee, Virginia, Kentucky, and Ohio state commerce commissions. The information included in both types of reports document the financial operation, operating statistics and capital stock of the Carolina, Clinchfield and Ohio Railway The reports are arranged in chronological order; duplicate copies were retained when marginalia was included with a report. The series is broken down into two subseries: Subseries II-A, Corporate Annual Reports and Subseries II-B, General Managers Annual Reports.

This subseries contains the corporate annual reports of the Carolina, Clinchfield and Ohio Railway Company documenting the financial development of the company between 1961 and 1967. The records are arranged chronologically.
Subseries II-B, GENERAL MANAGERS ANNUAL REPORTS, 1963-1970, Box 307-308.
This subseries contains the General Managers Annual Reports of the Carolina, Clinchfield and Ohio Railway Company to the Interstate Commerce Commission. The records document the regional and departmental operation of the company between 1963 and 1970. The material is arranged chronologically.
Series III, INDUSTRIAL AGENT CORRESPONDENCE, 1922-1983, Boxes 309-312.
This series consists of correspondence with the industrial agent of the Carolina, Clinchfield and Ohio Railway Company at Johnson City, Tennessee. The files include information on the company's early development, farming, requests for ore and mineral analysis, location of natural resources, and land speculation. Also included with these documents are industrial requests from private industries and local advertisements by Carolina, Clinchfield and Ohio Railway. The files are arranged chronologically by the original file number.

Also included are contracts and rental agreements on land transactions and agreements with county governments on county road building and maintenance. Subseries IV-B, CONTRACTS, 1904-1973, Boxes 313-356.
This subseries contains engineering contracts documenting the construction and maintenance of the Carolina, Clinchfield and Ohio Railway from 1904 to 1973. Included are contracts, for the maintenance of facilities and tracks and the retirement or demolition of the same. The records are arranged sequentially by the original contract numbers.
Subseries IV-C, MAPS AND BLUEPRINTS, 1902-1948, Maps and Prints 1-110.
(Small maps and blueprints are filed in map cabinet drawer 12 and the large preliminary line maps are individually boxed and stored next to the map cabinet).
This subseries consists of maps of the preliminary surveys done prior to the construction of the Carolina, Clinchfield and Ohio Railway and seismographic blueprint maps of the entire line after its completion dating between 1902 and 1948. The majority of the maps measure 3' x 25'. All the maps illustrate the topographic surrounding of each segment of the track; some of the maps contain greater detail than others. The seismographic maps each measure 2.5' x 105' and contain track layouts, rail crossings, bridges, stations, and mile posts. The blueprints are designs of equipment used by the Carolina, Clinchfield and Ohio Railway and track-bed configurations. The maps are arranged sequentially by the original map numbers.
Subseries IV-D, RENTAL AGREEMENTS, 1944-1971, Boxes 357-359.
This subseries contains rental agreements/contracts documenting the material and land transactions between private companies and the Carolina, Clinchfield and Ohio Railway between 1944 and 1947. The records are arranged sequentially by rental agreement number.
Subseries IV-E, PROPERTY CHANGES AND ENGINEERING REPORT LEDGER, 1917- 1952, Ledger 1.
This subseries contains one ledger documenting property changes of the Carolina, Clinchfield and Ohio Railway Company by their engineering department between 1917 and 1952.
Series VIII, HOLSTON LAND COMPANY, 1910-1971, Ledgers 2-25 and Box 360.
This series consists of payroll ledgers, general statement ledgers, cash disbursement ledgers, cash receipt ledgers and one hollinger box of loose consolidated balance sheets of the Holston Land Company from 1910 to 1971. The series also includes general ledgers and journals for the Norlina Construction Company and the Spartanburg Land Company, two companies that did business with the Holston Land Company during the construction and planned expansion of the Carolina, Clinchfield and Ohio Railway between 1908 and 1958. The ledgers are arranged alphabetically first by company name and then by ledger type. Each grouping of ledgers is then organized chronologically according to the first date entered in each book. The loose ledger sheets of this series are filed in a single Hollinger box that is located at the end of the series. These records are arranged chronologically according to the first date of each folder's date span.
Series IX, BLACK MOUNTAIN RAILWAY, 1913-1954, Ledgers 26-47 and Box 361.
Series IX contains general ledgers, cash disbursement ledger, trial balance ledgers, journal entries, and a journal entries-Federal book of the Black Mountain Railway dating between 1920 and 1950. In addition to these ledgers and journals, there is one Hollinger box containing loose accounting sheets for the retirement fund deductions and railroad retirement contributions of the Clinchfield Railroad Company and Black Mountain Railway Company dating between 1934 and 1936. The ledgers and journals are arranged first by the type of account book and then chronologically by the first date entered into each. The loose accounting sheets are filed in a Hollinger box at the end of the series, and the folders are arranged chronologically by the first date of each folder's span date.
Series X, VOUCHERS/JOURNAL ENTRIES/GENERAL LEDGERS, 1901-1972, Ledgers 48-211.
Series X contains vouchers, journal entries, general ledgers, shipping ledger, trial balance ledgers that summarize accounts listed in each general ledger, and general journals of the Altapass Inn Corporation; Carolina, Clinchfield and Ohio Railway Company; Carolina, Clinchfield and Ohio Railroad of South Carolina Company; Carolina Company; Clinchfield Railroad Company; Clinchfield Northern Railroad Company; Elkhorn Southern Railway Company; Kingsport Southern Railway Company; Lick Creek and Lake Erie Railroad Company; South and Western Railway Company; Interstate Mercantile Company; Meadows Company; South Harbor Company; and an unidentified company dating between 1901 and 1972. The ledgers are arranged first alphabetically by company name and then by type of account book. Each group of ledgers is then arranged chronologically by the first date entered into them. The unidentified ledgers are located at the end of the series and are arranged chronologically by the first date written in them. The undated ledger is filed at the end of this series.
Series XIII, ACCOUNTING FILES, 1908-1946, Box 362.
Series XIII contains the three folders of loose accounting files of the Carolina, Clinchfield and Ohio Railway showing the disposition of assets and liabilities that were taken over from the railroad's lessors. The records are filed in three files folders and are arranged sequentially according to the original page numbers.

ENGINEERING MAPS AND DRAWINGS, 1888-1967, Folders 1-168, Map boxes 1-558.
Series XIV consists of maps, plans, blue prints, and technical drawings of the Carolina Clinchfield and Ohio Railway Engineering Department. The maps and drawings detail railroad projects concerning the line's right of way, highway crossings and bridges, rail yards and stations, and industrial and community development.
Additional Notes:
Hundreds of maps and blueprints have been placed in the map cabinet. They are keyed to the files from which they were removed. They consist of maps of the Clinchfield route and vicinity, blueprints of land owned by Holston Land Company, property owned by the Carolina, Clinchfield and Ohio Railway including tunnels, wyes, station houses, bridges, trestles, round-houses and boarding houses.
Several audiographs and audiotapes have been removed from the accident and personal injury series. They contain accident and autopsy reports and accident investigation interviews.
All photographs found in the Carolina, Clinchfield and Ohio Railway collection have been removed and place in the Archives of Appalachia Photographic Archives. They have been placed in flat storage boxes and put in the Tom Daniel Room, 2-5.
