FROM: Office of Human Resources
SUBJECT: Transition to eJobs
DATE: September 30, 2009
Effective Thursday, October 1, 2009 the electronic eJobs at ETSU (https://jobs.etsu.edu) will be the only method used to advertise vacant positions. eJobs will also be the primary method used to process new hire paperwork for regular full and part-time appointments. Please see the new Search Guidelines for Filling Faculty, Administrative and Support/Clerical Vacancies at http://www.etsu.edu/humanres/relations/PPP-35.aspx.
Unless already routed in the signature chain prior to today, advertisements submitted to Human Resources on the yellow Request to Advertise form will not be accepted.
Position searches that are currently in process and accepting applications under the paper method, will need to continue accepting applications in that method and will need to submit their hire packets using the standard paper forms. Please see the applicable Search Guidelines: http://www.etsu.edu/humanres/relations/PPP33.aspx (administrative), http://www.etsu.edu/humanres/relations/PPP35.aspx (faculty).
All searches currently receiving paper applications, must be completed no later than December 31, 2009. If you cannot complete your current paper search by December 31, please contact the Office of Human Resources at 9-5825, to arrange the reposting of your position in eJobs by January 1, 2010.
Temporary and adjunct faculty hires will continue to be processed using the paper forms. Applicants, however, will need to complete the new ETSU employment application through the eJobs system and print it out for the department.
If you have technical questions about the eJobs system, please contact David Smith at 9-5890 or smithdm1@etsu.edu.
If you have questions about advertising and hiring, please contact Lori Erickson at 9-6124 or ericksol@etsu.edu.
Thank you for your cooperation and understanding as we move to this new system.

SUBJECT: Introducing eJobs at ETSU…
DATE: July 28, 2009
Introducing eJobs at ETSU…the new online employment system for advertising and hiring.
The Office of Human Resources will be implementing a new system for advertising and hiring effective October 1, 2009. The system will automate all advertising and hiring processes, and will allow users to view their historical advertisements. It is recommended that everyone who is involved in the advertising and hiring process attend one of the Introduction/Overview meetings to determine what type of training you will need and to get your first glimpse of the system. All users of the system will need to attend training to receive their user ID and password.
For questions/concerns, please contact Lori Erickson at 9-6124.

eJobs at ETSU Detailed Description:
The Office of Human Resources is preparing to rollout a new system that will initially automate our Request to Advertise and Request to Hire processes, and automate our Employee Performance Evaluation process in the future. The system is a PeopleAdmin product, which is currently used by over 500 institutions of higher education. The system is configurable to the needs of the client, which makes it unique at every institution it services. ETSU purchased the PeopleAdmin Enterprise Applicant Tracking System (ATS) and the Position Management Module (PMM) in April 2009 to automate several human resources (HR) related business processes. The ATS module automates the process of approving and publishing job advertisements online, plus it automates the collection, qualification, tracking, and distribution of employment applications and applicant EEOC data. ATS provides applicants with automated feedback regarding the status of their job search. The ATS has an applicant portal where applicants will search for ETSU advertised jobs and apply for open positions, and a user portal where supervisors and HR staff will create and approve job advertisements, electronically review applications, and electronically submit hire requests. The PMM automates the updating and approving of position descriptions and the performance evaluation process. The Office of Human Resources is coordinating the implementation of these systems, with the ATS scheduled to be activated campus-wide in October 2009 and the PMM in 2010.
eJobs at ETSU has been tailored to meet the unique needs of our university, and will allow users at ETSU to input advertising information into the system and submit it through their chain of command to Human Resources, where it will be processed and posted to the Internet. Applicants will be able to search through open positions and apply for jobs, all via the Internet. ETSU will discontinue using paper employment applications for all regular budgeted positions. The electronic hiring of temporary and adjunct employees will be phased-in beginning in January 2010. Search committees and supervisors will be able to view their applicants, submit their applicant pool for certification, and start the request to hire process all through this electronic system. The system will allow users to see where their request is within the process at all times, and will eliminate the extra time paper forms spend traveling throughout campus. eJobs at ETSU will represent a significant cultural change for the university, but will soon become a system that saves the university both time and money by eliminating the need for paper forms, allowing users to access their historical advertisement data, and giving applicants instant feedback during the hiring process. eJobs at ETSU will go live October 1.
