Function of Position

Responsible to the University President for providing administrative support to the President and Executive Assistant to the President/Associate Vice President for Health Affairs to ensure that all administrative duties are accomplished on a routine basis; working independently with university administrators, faculty, staff, and students to resolve problems addressed to the President's Office that do not require additional attention by the Executive Assistant to the President or the President; and performing other related duties as assigned.

Essential Functions

-Collects data, conducts interviews, and compiles information for review and recommendation by the Executive Assistant to the President/Associate Vice President for Health Affairs concerning appeals, grievances, and other issues that reach the presidential level.

-Maintains calendar for Executive Assistant to the President/Associate Vice President for Health Affairs (including travel arrangements when needed).

-Serve as liaison between the President and/or his staff and various groups or individuals (university and general public) having questions, complaints, or problems.

-Serves as liaison with TBR on search, hiring, and promotion requests and confirmations of faculty and staff.

-Serves as resource person and backup for the Office of Equity and Diversity on matters related to employee search policies and procedures as well as the execution of the search process.

-Assists with sensitive matters involving confidentiality.

-Coordinates hiring, training, and supervision of student workers, including time reports and evaluations.

-Coordinates training and supervision of new employees of equal or lower level as necessary.

-Holds responsibility for the Procard for the President=s Office, including security, proper use, reconciliation, and problem resolution.

-Holds responsibility for input and approval of requisitions on President’s Office and related indices through eBucs.

-Serves as coordinator for presidential initiatives and special assignments.

-Serves as backup for President's Office Manager on calendar and other scheduling matters, correspondence, and transcription and maintains office functions in the absence of other co-workers.

-Monitors and maintains office supplies and equipment, including preparation of requisitions and interfacing with vendors.

-Assists the Executive Assistant to the President/Associate Vice President for Health Affairs on budget maintenance.

 -Provides administrative support to the Executive Assistant to the President/Associate Vice President for Health Affairs on Health Affairs related issues as needed.

-Interprets and applies ETSU and TBR policies and procedures

-Interacts with and interprets/attends to the requests of faculty, administrators, staff, students, and the general public in person, by telephone, and/or through electronic correspondence.

-Serves as IT troubleshooter and liaison with the Office of Information Technology to address IT related issues in the President's Office.

-Composes, edits, and generates correspondence.

-Assists in maintenance of files.

-Assists in payroll/timecard functions.

-Sorts, opens, and routes mail.

Minimum Qualifications

Bachelor's degree in a business related field preferred; three to five years of related experience, preferably in a setting of higher education.
