potential; Function of Position Responsible to the Executive Associate Vice President for Finance and Administration for coordinating daily office administrative functions for the Department of Finance and Administration and the Medical Education Assistance Corporation (MEAC); acting as liaison between administrators, departmental chairs, faculty, patients and staff; and performing other related duties as assigned. Essential Functions - Coordinates daily operations of Finance and Administration office systems including administration of fiscal and personnel matters; assists in budgetary planning and preparation of documentation involved in budgetary expenditures related to the office of Finance and Administration and MEAC. - Coordinates and implements office systems policies for twelve MEAC clinics, accounting department, data processing department and physical facilities. - Develops agenda and support/presentation materials for meetings with the dean, administrators, faculty, staff and outside business consultants; develops and maintains documentation of data related to meetings. - Attends meetings with board of directors, annual general membership meetings, administration and budget committee meetings and MEAC office managers/nursing supervisors meetings; documents decisions and tracks outcome of the meetings. - Acts as liaison between the office of Finance and Administration and College of Medicine administrators, faculty, staff, patients, community groups, university departments, and affiliated health care agencies regarding administrative information flow and planning; provides information, interpretation, and implementation of policy procedures. - Coordinates special events such as conferences, seminars, tours and dinners for visiting dignitaries. Secondary Functions - Maintains supervisor's administrative scheduling. - Reviews correspondence and prepares responses as appropriate. - Develops master calendar for Finance and Administration and related units. - Assembles and maintains materials for the long-range planning committee, HCFA compliance committee, and continuous improvement processes. - Assists with preparation of TennCare collections rate and patient demographics reports. - Prepares and processes documents to interview and hire administrative and support staff. - Prepares and processes travel requests and reimbursements for division. - Processes purchase orders and invoices for division. - Maintains office equipment inventory. - Performs other related duties as assigned. Knowledge and Abilities - Knowledge of computers and information resource systems. - Knowledge of basic accounting procedures. - Ability to develop and maintain effective working relationships with faculty, departmental chairs, administrators, staff, patients and affiliated external constituents. - Ability to communicate effectively. - Ability to make decisions. Supervision Given and Received Performs under general supervision. Determines own methods of performing assigned work. Minimum Qualifications Bachelor's degree in business administration, health care administration or related area required; two years of administrative experience.
