Officer Duties From Lori Dye, Former ETSU PRSSA Student Chapter President
Chapter President
- Motivate executive board and members through your enthusiastic attitude towards PRSSA
- Preside at all membership and executive board meetings
- Appoint all committees; advise committee chairs; advise all members about chapter activities
- Delegate responsibilities of officers and committees
- Direct overall operations of chapter
- Recommend and establish goals and objectives for the chapter with the approval of the membership, faculty and professional advisors
- Assist the treasurer in collecting annual dues and assume responsibility for providing accurate information on the accompanying dues form to be forwarded
to PRSSA National Headquarters on November 1 and again on March 1
- Stay in contact with the PRSSA National Committee
- I want to stress that this is a very important office.
It is very time consuming and requires complete dedication! You also need to maintain frequent contact with the advisor and your officers. I feel someone who will stay neutral in situations and will not use this office as a “power trip” must hold this position. Everyone in the club, whether it is an officer or a member, is an equal and the president should feel this way at all times!
What else do you do?
- Take care of all the paper work that goes along with being a registered organization.
You will become familiar with the Student Life and Leadership office.
- Act as a liaison between PRSSA and the other organizations in the communication department. You can do this as little or as much as you like.
- Write a letter for the newsletter.
- Keep members abreast of service opportunities on campus.
- Pass along all information from the monthly mailings to the members.
- Check the PRSSA basket in the communication office.
- Help the other officers with their duties (but don’t do it all!)
- Make sure the faculty advisor knows what is going on.
- Contribute to the web page

Vice-President of Publications
- It is your responsibility to produce a monthly PRSSA newsletter.
You should have other officers and members help you write the articles. Your main duty should be assigning and editing articles and laying out the newsletter. (Do NOT feel like you have to do this newsletter by yourself.)
- While the newsletter is your primary job, you may also be called on to help the publicist with the bulletin board.
Your job could be as simple as taking down old notices and removing “junk.”
Assistant Vice-President of Publications
- Assist Vice-President of Publications with ALL of the duties listed.
- Maintain close contact with the Vice-President of Publications.
Vice-President of Recruitment
- You are in charge of keeping up with the mailing and telephone lists. Check with the department for a list of new majors.
- You need to organize visits to introductory PR and mass communication classes.
You do not have to make all these visits alone, but you should find out when the classes meet and make sure someone has gone to talk to all of these classes. Preferably, visit EACH major class each semester to try and recruit (or retain) members.
- Write welcome letters to new members. Retention is just as important as recruitment.
Secretary/Treasurer
- Prepare agendas with the help of the president.
- Record the minutes of all executive board meetings, general membership meetings and handle the appropriate distribution of these minutes.
- Maintain a record of chapter members, including a permanent home address and school address of each member.
- Serve as custodian of the chapter’s charter and other permanent documents, including the Chapter Handbook.
- Notify PRSSA Headquarters and sponsoring PRSA chapters of changes in chapter officers and advisors.
- Handle all chapter correspondence.
- Collect chapter and national dues at the times specified in the PRSSA National and Chapter Bylaws and, with the assistance of the president, completely
and accurately prepare the PRSSA dues form that accompanies national dues when they are forwarded to PRSSA Headquarters.
What else do you do?
- Place a neatly typed copy of the minutes on the PRSSA bulletin board and give another copy to the Historian for the scrapbook.
- Take attendance at the meetings.
- Call Dr. Roberts, the Culp Center or the communication office to reserve meeting rooms. Pass this room number along to the publicist and other officers.
- Write receipts for dues.
- I want to stress that someone interested in this office needs to be able to handle finances well and MUST have extremely good organization skills.
I suggest that you keep a notebook to record the minutes and give the minutes to EACH officer and the faculty advisor for each meeting! Keeping records hasn’t been done and should become a habit because it
is extremely important.
PR Director/Publicist
- Post announcements for chapter meetings throughout campus.
- Coordinate press releases, feature articles, advertising and brochures relating to the chapter.
- Handle all campus and area press issues.
- Help promote recruitment and retention with slide/tape presentations, brochures, flyers and other appropriate aids.
What else do you do?
- Create neat and accurate signs that give meeting times and other important information.
These signs should be placed in Warf-Pickel and other buildings. The signs should be posted well in advance of the meeting.
- Keep the bulletin board on the 4th floor looking neat.
- Write thank you letters to speakers.
- Write thank you letters to members who volunteer for PRSSA activities.
- Help the VP of Publications come up with “blurbs” for the newsletter.
- The publicist position may be THE most important post.
If you do not do your job, nothing else matters. If you take this job, you MUST be committed to do things well. It is not a hard or time consuming job; it is just one that requires a very responsible person.
Assistant PR Director/Publicist
- Assist PR Director with ALL of the duties listed
- Maintain close contact with the PR Director
Historian
- Maintain and record history of chapter so it can be passed on from year to year.
- Coordinate photography for the chapter, the chapter’s scrapbook and press releases.
- Take pictures at PRSSA meetings.
- Ask the secretary for meeting minutes to place in the scrapbook.
- Create and maintain the scrapbook
- Post pictures on the bulletin board
- Keep old copies of newsletters for the scrapbook
- Keep the bulletin board on the 4th floor looking neat each month. You can do whatever you want with the board; it is “your baby.” Update it often and make sure that old notices and “junk postings” are removed.
Webmaster
- Maintain the website and keep it up-to-date.
- Keep contact with all officers to know exactly what is going on within the chapter to post on the web site.
- Someone who is familiar with web page design should hold this office. You should be comfortable enough with this to be able to successfully
maintain the web site.
Fundraising Chair
- This person needs to be willing to dedicate time to handling the fundraising for our PRSSA chapter.
They must form a committee and meet with that committee often. Fundraising is very important because the more money we raise, the more funding we will have for conferences and PRSSA events. You may also appoint two co-chairs to assist you in your duties. Also, it is very important to maintain contact with the secretary/treasurer to keep up-to-date on our funds.
