Editorial Guidelines
Compliance Audit Reports
Sacs Reaffirmation Pilot Program 2000/2001
Compliance Audit Report templates will be provided as pre-formatted
files by e-mail or on diskette to the Chair of each Compliance Audit Team.
The rationale descriptions required in these reports should be in prose
style and emphasize clarity, consistency, economy of words, and strength
of evidence and argument. We hope that each report will present a balance
of candid, critical analysis and a positive, constructive approach. Editorial
style guidelines for these descriptions have been set with the goal of
facilitating the transition of text to a web-based reporting system. These
guidelines are not intended to be comprehensive, so please feel free to

General: Microsoft Word (version 2000 preferred)

Margins = 1-inch top, bottom, left and right

Single space
Headers Primary Header =
Caps + Caps + lower case, centered, roman (i.e., not italics or bold);
double space above and below
Secondary Header =
Caps + Caps + lower case, flush left, italics; double space above
and below
Tertiary header. This header = Caps + lower case, flush left,
italics, end with period; double space above but begin first sentence
on same line, two spaces after period.
Text Formats

Numbers in text should be spelled out if ten or less; use Arabic
numerals for 11 or greater unless the number begins a sentence (e.g.,
"Twenty-four percent were
" NOT "24% were
").
Note that spelled numbers take the written word percent, but Arabic
numerals take the % symbol. If possible, cite fractions as decimals
(e.g., 65.5). When referring to year intervals, include all four digitis
for both years and use a single hyphen with no spaces (e.g., 1998-2000);
if the year interval is part of an official title and only has two
digits (e.g., 1998-00), leave as is.

Statistical references should be spelled out (e.g., a total of 600;
an average age of 22; a mean of 53), even when used in parenthetic
expressions [e.g., "(mean, 56; standard deviation, 0.24)"].

Dates should include a comma if day is cited, otherwise do not use
a comma between month or semester and year (e.g., September 17, 1998;
September 1998; fall 1998).

Acronyms may be used, but should be introduced in text as a parenthetic
expression after the first use of the full name [e.g., "The General
Education Advisory Council (GEAC)
"]. The only exception
is the use of "ETSU" which does not require a parenthetic
reference. However, if a reference to the institution begins a paragraph,
use "East Tennessee State University" as the lead; the acronym
can then be used in all following sentences for that paragraph.

Capitalize official names of committees, groups and offices, but
use lower case for abbreviated titles or casual reference ("Academic
Council" vs. "the council"). Titles of individuals
are capitalized only when attached to a name. Please verify all official
names and titles.

Phrases or expressions included in parentheses, whether a citation
to documents or to data, should be treated as a part of an existing
sentence.
Other Page Formats
Because each report will be presented as a continuous screen on the
website, do NOT include headers, footers, page numbers, page breaks, or
repeat table headings in the final electronic report.
Lists
-
· Preference is given to bulleted lists using the default
'dot' standard used in these guidelines. Note that the bullet is oriented
flush left and the standard default hanging indent (0.25") is
used. Do not double space before the first item; single space the
list.

Numbered lists may be used where appropriate, especially after
a numeric reference in the previous text (e.g., "Five goals were
identified in the continuous improvement process
"). Numbers
should be Arabic, oriented flush left and the standard default hanging
indent (0.25") used. Do not double space before first item; single
space the list.
Graphics & Tables
Use of graphics and tables are encouraged only when these representations
will reduce the narrative and/or make synthesis easier for the reader.
Convert all tables and graphics to WORD formats, position them appropriately
in the text of the report, and save as a single file. Note that all tables
or graphics included must be presented in "portrait" orientation
(i.e., 8.5x11, not "landscape" 11x8.5).
Citations to Documents
In Text. Textual reference to documents may be included as an active
part of a sentence or presented as parenthetic expressions. Italicize
official names of documents (e.g., ETSU Faculty Handbook; ETSU Undergraduate
Catalog, 2001-2002). Italicize the date when it is an integral part of
the publication (i.e., ongoing cyclic publications such as catalogs).
References to titles of official committee reports (Guidelines for Academic
Program Review, date) also are italicized, as are matters of public record
(Graduate Council Minutes, date) but the dates associated with these publications
are kept in roman font (i.e., not italics or bold). References to other
specific associated information (e.g., Policy 6:04:00:00; or p. 40) are
also cited in roman font. Page citations should always use Arabic numerals
and the abbreviation "p." if reference to a single page, or
"pp." if multiple pages, before the numeral.
In Document Table. Provide the complete and official title following
italics rules listed above for text citations. Do not use abbreviations.
The order of documents in the table should reflect the order of citation
in text. Indicate the availability of hard copy or electronic file versions
by placing an 'X' in the appropriate column ONLY if a web version of the
document is not available. If a web URL address is available, include
the complete addresses (http://
..) in the last column. In current
versions of WORD, please make sure that the "internet & network
paths with hyperlinks" option is NOT checked (go to Tools, Autocorrect,
Autoformat as you type, replace as you type). By not checking this option,
the typical color and underlining formats will NOT be applied and cannot
obscure any portion of the web addresses you enter.
