Instructions for Poster Presenters

  1. The deadline for submitting your registration and abstract for poster presentations is Wednesday, March 1, 2017   .  (See the Abstract Guidelines page for abstract composition rules.)  View a helpful Timeline for your presentation preparation activities.

  2. When developing your poster, follow the guidelines as outlined on the Poster Preparation page of this website.

  3. ETSU-Student Posters must be set up on Tuesday, April 11 between 12:00 pm and 4:30 pm.  (No entry into the room after 4:30 pm.)  Posters from non-ETSU students may be set up between 8 AM and 8:30 AM on Wednesday, April 12.  In order to be judged, you must have your poster set up no later than 8:30 AM on Wednesday, April 12. 

    Please be aware that it is each student's responsibility to notify his/her instructor(s) in advance of the impending absence from class on the dates of the Forum.  A letter serving as the "Class Absence Authorization Form" will be provided in the student packets..

  4. When you first arrive to set up your poster, go directly to the Forum Registration Desk, located just outside the Ballroom, to receive your student packet, then proceed to look for the poster display board with your assigned number.  

  5. Push-pins for attaching your poster to the poster-display stands will be provided and available for your use.  

  6. All poster presenters are required to be present and ready at their poster beginning at 8:30 am on Wednesday, April 12; judging will begin promptly at 8:30 am. 

    Each presenter/main author should plan to explain his/her research to a team of judges.  Limit your explanation to seven (7) minutes .  Judges may also interact with the presenters by asking questions about your research.  (see also Judging Criteria)

    There will be only one poster judging session; your poster will be judged once by a 2-person team of judges.  If you are not present at your poster when the judges arrive to judge it, your poster will be considered non-competitive.
    After your poster has been judged, you are free to move about, interact with your peers, and enjoy the day.

    Important :   Please remember to wear your name badge on Wednesday, April 12.  Blank nametags will be available at the registration desk for co-speakers.

  7. You may use the lunch ticket provided to enjoy a free lunch in the main cafeteria.  Lunch tickets for co-presenters, if available, may be obtained at the Forum Information Desk.

  8. Presenters should plan to attend the keynote address and awards ceremony which follow the poster judging session and lunch.
  9. Photos of award winners will be taken during and after the awards ceremony. Therefore, all award winners should stay until the ceremony is finished.

  10. You should remove your poster immediately after the Awards Ceremony .  Posters and any other materials left after 4 pm will be discarded.

  11. Remember to copy and distribute the Class Absence Authorization Letter to each of your instructors.
