How do I access Degree Works?
You can log into Degree Works through Goldlink using any computer using your ETSU username and password. If you are unable to log in, please email degreeworks@etsu.edu. The DW staff in the Registrar's Office can assist with login issues. Note, all faculty who have been approved for advisor security within our student information system will have access to DegreeWorks.
How do I find students in Degree Works?
On the main screen, you can enter in a student's EID -- OR -- you can press the Find button (upper left corner of the screen), which will bring up the Find Students panel. While there are many options on this panel, we recommend either:
- type in the student's name and press Search; OR
- select the appropriate major (degree or certificate) from the All Major Codes pick-list (upper middle of the panel) and press search .
What if a student is not in Degree Works?
It could be several factors. The student may be a transfer and hasnt been loaded yet or they may be under a later catalog. Contact degreeworks@etsu.edu for further follow up.
What should I see when I look at a student's audit?
Degree Works displays a student's program of study audit worksheet based on the program and course information in Banner and on the curriculum scribed from the 2012 2013 catalog information.For degree-seeking students, you should see a degree block and a major block -- and a concentration block if that major requires a concentration and electives. You should also see a General Education block, unless the student has met those requirements in some way. Green checks indicate complete requirements; blue tiles indicate in-progress requirements; empty red boxes indicate unmet requirements.
The student is in multiple programs, but I only see one listed.
Each program is listed on a separate audit screen. To change screens use the Degree picklist near the top of the screen. If the second program is not there, the second program may not have been approved yet. Contact degreeworks@etsu.edu or the college of the second program if you believe there is an error.
I see several special categories of courses at the bottom of the audit. What are those?
Any or all of the following may appear at the bottom of the audit.
Fallthrough: Courses that are counting as additional electives over the minimum required for the program.
Attempted: Courses that do not have passing grades (U, F, SP, UP, IP, I).
In-progress: Any course currently being taken or preregistered for.
Not Counted: Courses that exceed or do not meet a program of study requirement, such as limits on dual-listed courses, independent studies, selected topics courses, C- level grades.
Exceptions: Customizations applied to the student's program based on submitted program of study information.
Notes: Any pertinent comments made by the advisor, program director, or Student Services Center in the Dean's Office. NOTES ARE VIEWABLE BY STUDENTS AND REMAIN PART OF THE PERMANENT AUDIT
Can you explain more about the Fallthrough section?
Courses can occupy this section for a number of reasons. If a student has changed majors, courses that once counted may no longer be required by the new major. Students may have taken more elective courses than required by the major. Students may be pursuing a minor they need to officially declare. Additionally, transfer students and students who have fulfilled General Education in some way will typically have courses in this section, as they may apply directly to specific degree requirements.
As an advisor, I can ignore courses in the Fallthrough section, right?
Wrong. It is important to review courses in this section as well for potential substitutions and to ensure the audit is functioning properly. If you find a course in the Fallthrough section that satisfies a major requirement, contact the Office of the Registrars office, degreeworks@etsu.edu or complete the Report a Problem form on the Registrars office web site.
I want to make a note in Degree Works. Can I do that?
Yes, Click on the Notes tab and you will see a side bar that includes Add Note. There is a picklist of predefined notes, they will be separated by General (pertaining to all students) Undergraduate and Graduate. You can enter freeform text past the note. Be sure to save the note. NOTES ARE VIEWABLE BY STUDENTS AND REMAIN PART OF THE PERMANENT AUDIT.
Can I get a term-by-term listing of courses taken from Degree Works?
Use the Class History link at the top of the audit.
Is there a way to grab the new information from Banner?
Yes. Use the refresh button at the top of the audit worksheet. If you are using what if or planner, you may need to click on the process new button.
Interpretation and Requesting Change
What if the major, concentration or minor is listed incorrectly?
. Degree Works is a direct interface of information from Banner. If the major information was changed today, the information will be available tomorrow. If the student has not officially requested the change, they need to report to Records to submit the request.
How do I submit a substitution or waiver?
See the Faculty / Advisor tutorial for substitutions or exceptions. If you have been granted access rights to complete substitutions or exceptions, the tutorial guide will provide the step by step process. If you do not have access, continue to submit these as you have in the past.
How do I submit bridgework?
Bridgework can be submitted, with appropriate access level, via the exceptions tab. If you do not have access to make these changes, continue to submit as you have in the past.
The Program requirements don't look quite right. What could be wrong?
Double check the online catalog as a reference. If a correction is required; either in the catalog or Degree Works, send an e-mail to Degreeworks@etsu.edu or complete the Report a Problem form on the Office of Registrar web site. Be sure to clearly identify / explain the problem.
Courses approved to meet a program requirement are
Fall through courses are those courses that have not been identified by the Degree Works program as being necessary for the major/minor or concentration, are not required to fulfill the requirements or electives or a best fits has already been applied using other coursework. Courses in fall through that you would like to use as a substitution can be completed by using the exception tab.
Where can I find the transfer credits?
Transfer credit will be entered into Banner (and thus in DW) once an official transcript showing acceptable grades has been received by the Office of Admissions / Articulation. Until then, any transfer planned will be referenced in a note at the bottom of the audit.
Some students have declared minors but no courses are filled in the minor block. Why?
Check that coursework for the minor has been met. If some courses will apply to both the major and the minor concentration, they may need a split course reference; meaning they can apply to both requirements, but have only been applied to one or the other. Contact the Registrars office or degreeworks@etsu.edu for assistance.
What if I see an error in the audit?
Check audit history for any exceptions, substitutions or notes that might have been applied by another advisor. If there is no history or other identifiable reason for the missing information, contact degreeworks@etsu.edu or complete the Report a Problem form on the Office of the Registrar web site with specific information including the student's name, major, Banner ID, and where on the audit that the error was noticed.
